Everything You Need to Know
What is Software as a Service (SaaS)?
Seratio's Social Value Software is a SaaS product. This means that it is centrally hosted by Seratio and our partners and we provide a software licence by way of subscription service to you our customers for using our products. Each licence is for a
specific term and usually for twelve months. Even though you may pay monthly or annually. Your customer dashboard is where you can access and use our software.
How do I sign up?
You can purchase a Gold and Platinum account from our homepage or your can our customer service or sales team to enquire further about these products or an enterprise level account.
If you have purchased a Gold or Platinum account on this website then you will be sent an email from our customer service team explaining the onboading process and the information that is needed from you for us to start measureing your social value. You will also be provided a username and password to access your dashboard.
How long does it take?
It will take seven business days from the time that we have received all of your financial information and social value policies until you receive your baseline SE ratio score. If there is delay in providing this information then the delivery of your baseline score may take longer. It will take a similar amount of time to assess each contract but it may take longer if there are a very large number of bidders or if the provision of information is delayed. While we will always endeavour to assess contracts faster please be aware that we will need to fit you into an existing schedule and we cannot guarantee this.
How does your software help us to measure Social Value and Social Impact?
Initially we conduct a Baseline Measurement of your organisation which provides a single number score (SE ratio) this is the benchmark for how many £ that you create for every pound spent - your social impact in financial terms.
We analyse three different sets of data your financial accounts, your existing Social Value spend and policies and finally the sentiment analysis of everything that you do within your community and how your community engages with you, what social value do you actually create and what is your social impact.
This data produces your SE ratio.
How do you measure bidders?
We measure the bids for each contract in a similar way to the Baseline Measurement taht we use for each customer organistaion. Analysing the same three sets of data which they provide for each contract. We then measure how much value that they promise in their bid and come up with a £ value as to their social impact on this contract, we can also reoprt this based on the % of Social Value that they add to the contract.
It is up to you the customer to decide how much weight you attach to the price, quality and social value of each bid. Seratio will provide to you the Social Value score attributable to each bid and how you use that informtion is up to you.
Will you monitor the succesful bidder over the lifetime of the contracts?
In your customer dashboard you will see the current status of each bidder and whether the succesful bidder has delivered on the promises of social value that they made at the time of the tender.
As each account with Seratio is annual you will only have access to your customer dashboard and all of the information and reports within it provided that your account is fully paid up.
What does Unlimited Bidders Mean?
Unlimited bidders means that for each contract measured you can have an unlimited amount of bidders.
What do I need to do?
We need you to provide us with your last year's audited financial accounts to authenticate the accuracy of your information. There is the opportunity to upload them or create a link to them in your customer dashboard. You will also need to provide the financial accounts of each bidder which should have been provided to you at the tender stage.
It is important to note that initially Seratio will manually upload your financial data taken from your financial accounts for the first customers in their first year and then the customer will need to add or edit the data for the following years.
What is the maximum contract size for Gold and Platinum?
The contract size is measured against the highest bidder for a contract. For Gold accounts if there is any bid in excess of £1m it will not be possible to enter the bid and for Platinum accounts the limit is £3m. If you have a contract which is is outside of these thresholds and you would like to measure it then please contact your account manager or our sales team and we will facilitate this for you at an additional cost.
Can I measure a contract which is larger than my account allows?
Yes but you will need to contact your account manager or our sales team for an upgrade or for an additional paid service.
Do you report your data?
We are not bound to report our data to anyone. Our customer is the only person who receives the data on their organisation and contractors. Contractors who complete information in our systems have no access to the results of our data and it can only be provided by you if you choose to do so.
Our data can be used to set benchmarks across industries, categories and countries and to create an annual report but the data is anonymous.
What Reporting Tools do you have?
Seratio uses a variety of graphic reporting tools which are available to all of our customers in their dashboard enabling you to quickly identify each contract and bidder individually, as a group or as a whole, and see where you are benchmarked.
Our enterprise customers have many more reporting tools and tehor dashboard is more advanced.
What is the difference between a Gold account and Platinum account?
The Gold and Platinum accounts are designed for organisations whose contract sizes may be smaller and for those larger organisations who want to test our products with a view to using our enterprise solutions.
The significant difference is the amount of users that you can add together with the number and size of the contracts that you can manage.
There is help with onboarding but there is no dedicated account manager though for the first customers we will set up your account for Gold and Platinum but that offer is for alimited period only.
If I have a problem is there a help line?
Gold and Platinum accounts will have access to basic help and onboarding, for all further enquiries please email our customer service team and we will respond usually within one business day.
Enterprise customers will have a dedicated account manager and full access to help.
How long is our data held for?
We hold your data for as long as you are a customer of Seratio. If your subscription lapses then you will lose access to your dashboard and all of the reporting tools.
Each year you will need to submit a new set of audited accounts and maintain a current set of information for us to measure. This can be compared to previous years to help you improve your score and monitor your contractors.
Does using this software mean that I comply with the Social Value Act?
The Social Value Act applies to all public sector bodies in England and some in Wales for contracts above £164,000 and it applies to all public services contracts and those public services contracts with only an element of goods or works. It doesn’t apply to public work contracts or public supply (goods) contracts. However, there is widespread approval for public bodies to apply this to any contracts. These bodies are required to consider how the services they commission and procure might improve the economic, social and environmental well-being of the area.
By using Seratio's technology an organisation is assessing the social impact of each contract and its bidders aginst the criteria asked for in the Act. The use of Seratio's technology helps you to comply with the Act and manage your procurement effectively. We also offer consultancy servoce which are part of our broader Enterprise products and as an add-on to our Gold and Platinum accounts.
The use of and applicability of our software products is governed by you the customer, and our terms of service, and you are able to detail the use of Seratio as a tool in helping you comply with internal policies and external regulations.
